Our approach
Much of the material in the archive is historical, community-based and cultural in nature,
but we recognise that photographs, documents and submitted memories can still carry personal significance.
Where information is provided directly to the Society, we use it only for the purpose for which
it was shared, unless there is a clear and appropriate reason to do otherwise.
What this may include
Messages and enquiries
Enquiries or messages sent to the Society, whether about events, archive material or general questions.
Archive contributions
Photographs, documents, stories and background information submitted for archive purposes.
Support and membership
Contact details shared in connection with membership, support or Society activities.
Site administration
Limited information associated with maintaining and administering the website and its content.
Data protection and GDPR
We aim to follow the principles of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act,
in a way that is appropriate to the size and nature of the Society.
In practice this means we try to:
- only collect information that is relevant and necessary
- use information fairly, lawfully and transparently
- keep information accurate and up to date where possible
- retain information only for as long as it is useful and appropriate
- handle information securely and with care
Where personal information is held, individuals have rights in relation to it, including the ability to request
access, correction or removal where appropriate. We will consider such requests carefully and in good faith.
Members area and access
Some parts of the website may be restricted to members, contributors or administrators.
These areas are not intended for public access and are protected by login or password controls where appropriate.
We aim to manage access proportionately by:
- limiting access to appropriate users only
- using passwords to protect non-public areas
- reviewing access where roles or responsibilities change
- avoiding unnecessary sharing of access credentials
We encourage the use of sensible passwords that are not easily guessed and are not reused from other important accounts.
Although no system can be entirely risk-free, we aim to manage access responsibly and keep restricted material within
the appropriate parts of the site.
